For people with disabilities needing wheelchair access, the event is all on one level which can be accessed from Anerley Hill. Parking for disabilities is free please show your badge on arrival if you require more information please contact us.

SITE ACCESS
Site Entry
Entry into the Event Site is located at Cintra Gate just off Anerley Hill this will place you directly onto the ‘Mid Terraces’ where you will be able to check in.
SE19 2AD is the closest postcode to the trading entrance, there will be a security check point on entry to your trading spot for set up.
Identification
All traders and staff must bring along their proof of booking & identification to enter the event site. This will be inspected by the Trade Manager.
Acceptable forms of ID: Passport or Driving Licence
(Any QR Code system implemented will require you to provide this for scanning on entry)
Whilst on site all Trade Exhibitors and Trading Staff must wear the required wristbands or lanyards for identification by Security and Crew
Staff Access & Wristbands
Trade Exhibitors and Staff must wear their onsite ID at all times whilst within the event site for inspection by the Trade Manager & Security. Any individuals not required for manning the trading space will be prevented from entering the event site without a ticket.
Loading & Unloading
Vehicles are permitted to enter into the site area via Cintra Gate and drive slowly to access the allocated pitch area for loading and unloading during setup & set down times only. All vehicles must maintain a speed of 5mph whilst driving around the site and non-permitted vehicles must be removed by the vehicle curfew of 10:30AM.
Setting Up
Trade Exhibitor access to the event site will be available from 07:00 main set-up must be completed by 11:15 for pitch inspection, opening photos and security site sweep. All Trade Exhibitor’s must be ready for photos to trade by 11.30 & for the first entrants to arrive on site at 12:00.
Vehicles not pre-registered as a trading pitch must be moved to the trader’s allocated parking space or off-site by 10:30 the latest.
Trade Exhibitors must only set up in the allocated space provided, there should be no over-hanging.
Non-compliance will be deemed a breach of trading terms and the Trade Exhibitor will be asked to remedy their set up to fit the size of space booked.
If Trade Exhibitors know that the pitch size is too small they should contact the Trade Manager to upgrade their booking - No exceptions will be made on the day.
No Day Trade Exhibitors – We are not permitting any single-day traders if you are unable to trade for a second day please contact the trade email or text the Trade Manager.
Pitch Check
Each Trade Exhibitor will have their trading area checked for readiness prior to being approved to open for trading on each day. Pitches must be ready by 11am for pitch checks.
At the end of each trading day there will be a pitch check and sign off by the Trade Manager
Trade Exhibitor Parking
Yes - There is allocated parking.
Each Trade Exhibitor is provided with 2 vehicle spaces to park as part of their booking.
Any split Trade Exhibitors will be allocated 2 vehicle spaces total.
Pitch Locations
All pitch locations will be available 1 week before the event. We do not operate a pitch selection system as pitches are automatically allocated
Vehicle Onsite Times
Parking
Each Trade Exhibitor will be allocated two (2) parking space per booking, any additional parking spaces can be arranged at a standard parking fee of £5 for the weekend. Each Trade Exhibitor will receive a Parking Permit with their pitch number which needs to be displayed in the window of the vehicle at all times and the vehicle registration logged with security
Parking will only be permitted in the allocated spaces and Trade Exhibitor Parking Area only
Packing Up
Every trader must have their pitch area cleaned and removed or cleaned and securely locked up by 23:15 (11.15pm)
All Trade Exhibitors must be off the event site by 23:15 (11.15pm)
Trade Exhibitors are permitted to leave their trading spots set up overnight between event days, valuable goods should not be left unsecured.
On set down, all equipment should be cleared & vehicles off-site.
Rubbish must be removed & deposited in the skip each day.
Monday packing up is available & must be completed by 2pm
SITE SAFETY
Health & Safety
All Trade Exhibitors must ensure that they create a safe environment in which to trade and a safe environment for service to customers.
The following high risk elements will be noted by the Trading Team

[ ] Generators
[ ] Gas Equipment
[ ] Electrical Equipment
All structures must be set up safely and weighted down appropriately. Trade Exhibitors with any gazebos or marquees seen to be flying or unsecured will be requested to remedy the structure before being allowed to start or continue trading.
All wiring must be protected from access by the general public
All traders must have & abide by their own risk assessments to ensure safety for all
Food Trade Exhibitors
The Trade Manager may visit each pitch to verify the following via a Pre-Trading Document Checklist:

Pitch Cleaning
As park users it is all of our duty to ensure that the park is kept as clean as possible and that the environment is respected. We therefore request that each Trade Exhibitor takes an ownership over their own pitch area. Those who do not comply maybe subject to further charges to cover the cleansing of their trading area and will also be prevented from trading at any further events with Radiate Festival or its partners.
Do not dispose of oil by pouring on ground or grass, all oil must be taken by the trader off site at the end of trading
Do not set the grass alight with bbqs or hot coals
Report any chemical spills to the Trade Manager
Offer to dispose of rubbish for customers near your pitch or using your services
Have 2 bins/black sacks to allow rubbish to be disposed of effectively
Remove rubbish on each day of trading and dispose in the on-site waste skip
Ensure that your pitch area and 1.5m in front of your pitch is litter free
Accidents & Reporting
Any accidents to staff or customers should be reported to the Medical Team for logging and treatment purposes
Trade Exhibitor's Children
Children will only be permitted under the number of staff allocations - any additional entrants will need to be purchased. Children under the age of 10 who enter or are brought onto the event site will be the responsibility of the respective trader/parent. No responsibility is taken for under 18's enterting the event site during setup or set down.
Prohibited Items
Alcohol is not permitted to be sold by any Trade Exhibitor. Trade Exhibitors found to be selling or distributing alcohol will be removed from site without warning.
The sale of weapons is not permitted in any way
Security
There will be crew onsite overnight between 19 - 21 June 2021. The site will be secured and patrolled between event days. There will be NO Trade Exhibitor access to the Event Site between 23:00 – 06:59
TRADING INFO
Trading Times
There is to be no service or trading outside of these hours, any Trade Exhibitor found to be breeching these terms may be denied any additional days booked to trade
Trade Exhibitor Behaviour & Conduct
Any Trade Exhibitors found being disrespectful or physically abusive to Event staff maybe asked to cease trading and barred from trading at any future events. Any issues with violence against a trader must be reported to the Trade Manager or Security.
Customer Service
It is a condition of trading that Trade Exhibitors must be courteous and respectful of customers, event crew and other traders. It is encouraged to develop good working relationships with other traders and staff whilst delivering a high quality service on each trading day.
Trading Prices
All traders are required to display pricing for goods and services where appropriate to ensure that customers have a clear understanding of costs
Unauthorised Trading
Anyone found to be trading without permission will be asked to pack down immediately and escorted off the event site by Security and barred from trading at any future events with Radiate Festival
Ticket Allocations
Trade Exhibitors are given 10 tickets for promotional use. The allocation should be used as follows:

30% Friends & Family
